Due to the current Consortial Holding accordion bug in Folio Inventory, some shared Instances may have been suppressed or marked for deletion by one library without knowledge of active holdings at other libraries. To review if any of your titles have been accidentally suppressed or marked for deletion, here are some workflow options.
- Go to Folio Inventory app, Instance tab
- Uncheck "Staff suppress" filter
- Under "Shared" filter, select "Yes"
- Under "Held by" filter, select your library/institution
- Under "Instance status" filter, select "Marked for deletion"
- Review results for active/available items that need to be unmarked
- What "Effective location (item)" filters are shown?
- Save Instance UUIDs for detailed review in Lists app (see below)
- Go to Folio Inventory app, Instance tab
- Uncheck "Staff suppress" filter
- Under "Shared" filter, select "Yes"
- Under "Held by" filter, select your library/institution
- Suppression options (review results separately and/or combined)
- Under "Suppress from discovery" filter, select "Yes"
- Under "Statistical code" filter, select "OpenRS: OpenRS_No – Suppress from OpenRS"
- Under "Staff suppress" filter, select "Yes"
- After selecting the desired filters in Inventory, click Actions > Save instances UUIDs
- Data Export app > Choose file > Default instances export job profile
- Select Instances UUID > Run
- Download and break the .mrc file in MarcEdit
- Edit > Find
- Check "Use regular expressions"
- Type

(Two spaces after LDR) - Find all > Extract found records
5.1.5.4 Detailed items review in Lists app
- After selecting the desired filters in Inventory, click Actions > Save instances UUIDs
- Open the CSV file in Excel
- In B1, type

- Autofill the formula to the end of the UUID list
- Copy the values in Column B to your clipboard
- Go to Lists app > New
- Record type = Items (can repeat process selecting Holdings or Instances type if needed)
- Build query
- Field = Instance ID
- Operator = "in"
- Value = paste values from clipboard
- Test, run, save query
- Actions > Choose desired columns to show in export
- Actions > Export list
- Open CSV file and save as .xlsx file, and examine results using formatted table sort/filter functions
